Gemini can now work inside any app on your PC — here's how

If you're like most small business owners, your AI habit looks like this: open a new tab, paste in whatever you're working on, wait for the answer, then copy it back into the email or document where you actually needed it. That copy-paste loop is the tax everyone pays for treating AI like a separate destination instead of a tool built into where you're already working. Google's new Gemini app for Windows gets rid of that tax.

Feature 01: The Overlay That Follows You
Instead of living in a browser tab, Gemini for Windows sits quietly in the background until you call it. Press Alt + Space from anywhere, Outlook, Word, a PDF, your browser, and a floating Gemini window opens right on top of what you're looking at. You never lose your place.

Here's how to set it up:

1. Download the app. Go to gemini.google/desktop on a Windows 10 or 11 computer and install it.

2. Sign in with your Google account. This connects Gemini to your Gmail, Drive, and Docs, which matters for a couple of the features below.

3. Open whatever you're working in. An email, a document, a spreadsheet, it doesn't matter.

4. Press Alt + Space. The overlay appears without switching you out of what you were doing.

5. Type what you need. Gemini can see what's on your screen, so you don't have to describe or paste it in.

Feature 02: Rewrite and Fact-Check Without Leaving the Document
This is the one that saves the most time day to day. Instead of copying a paragraph out to get it rewritten somewhere else, you ask Gemini to work on it right where it already lives.

1. Highlight the text you want help with, an email draft, a client-facing paragraph, anything.

2. Hit Alt + Space to bring up the overlay.

3. Tell it what you need. "Soften the tone on this," or "check this number against what's in the report," or "give me three shorter versions of this line."

4. Read the suggestion in place, right next to the original.

5. Accept, edit, or ask for another pass, all without leaving Outlook or Word.

Feature 03: Summarize Across Your Inbox, Drive, and Docs
Because it's connected to your Google account, Gemini can pull context from more than one place at once, useful when you're trying to catch up on something without reading every message in a thread.

1. Open the thread, doc, or folder you need to catch up on.

2. Press Alt + Space.

3. Ask something specific. "Summarize this thread and tell me what's still unresolved," or "pull the key numbers out of this doc."

4. Use the summary to decide your next move instead of scrolling back through everything yourself.

Feature 04: Delegate Multi-Step Tasks in the Background
Gemini Spark, built into the overlay, can take on a task and keep working on it while you move on to something else, instead of making you sit and wait for a single answer. Try asking it to draft three social captions from a blog post, pull together a first pass at meeting notes, or research a short list of vendors, then check back once you've finished whatever else you were doing.

Download the app today. Then the next time you're staring at a long email thread trying to remember what was actually decided, hover over it and hit Alt + Space. Try this prompt:

"Summarize this thread in three sentences and tell me what decision is still open."
