Privacy Policy

The Execution Expert LLC ("I," "me") runs coachhannahcox.com and provides accountability coaching. This policy explains what information I collect, how I use it, and your choices.

What I collect

  • Contact details you give me: name, email, phone number and time zone, through signup, booking, contact or newsletter forms.

  • Intake and coaching information: your answers to my intake questions and what we discuss in sessions.

  • Payment information: handled by Stripe. I never see or store your full card number.

  • Session recordings and transcripts: sessions may be recorded and transcribed with an AI note-taking tool (currently Granola) for notes and continuity.

  • Website data: my website host, Squarespace, uses cookies and collects basic analytics like pages visited and device type.

How I use it

  • To deliver coaching, schedule sessions and follow up between calls

  • To bill you and manage your subscription

  • To send my weekly newsletter, if you subscribed

  • To improve my website and services

I don't sell your information, and I don't use your coaching information for marketing. I only share a client story publicly with your permission.

Team coaching: if your company pays for your coaching, I send your company a brief monthly update on work progress only, as described in my Terms & Agreement. Personal topics, frustrations and anything else you share in our sessions aren't included, unless you ask me to raise something.

Services I use

I share information only with the tools that help me run my business: Squarespace (website and forms), Stripe (payments), MailerLite (email newsletter), Cal.com (scheduling), Google Workspace (email and file storage) and Granola (session notes). Each has its own privacy policy.

Your choices

  • Unsubscribe from my newsletter anytime using the link in any email.

  • Ask me to see, correct or delete the information I hold about you by emailing [your business email]. I'll respond within 30 days. I may need to keep billing records for tax purposes.

  • You can block or delete cookies in your browser settings.

How long I keep it

I keep coaching notes and records while we work together and for up to [2] years after, unless you ask me to delete them sooner. Billing records are kept as long as tax law requires.

Security

I use reputable, secure tools and limit access to your information to myself. No online system is perfectly secure, but I take reasonable steps to protect your data.

Clients outside the U.S.

I'm based in Alabama, USA, and your information is stored in the U.S. If you're in the UK, EU or Canada, you have the rights above, and you can also contact your local data protection authority.

Changes

I may update this policy. The effective date at the top shows the latest version.
